Privacy Notice

This notice explains how we process your personal data when you contact Bodrum Solutions through our website, WhatsApp, email or phone, book a survey, review a proposal or use our services. It is written to meet the EU General Data Protection Regulation (GDPR), the UK GDPR and the Turkish Personal Data Protection Law No. 6698 (KVKK).

Bodrum Solutions is a brand operated by İçerikçi.

2. Personal data we process

  • Identity and contact: name, phone and WhatsApp number, email address, preferred language.
  • Enquiries and correspondence: form content, WhatsApp and email messages, photos, documents and locations you send, call notes.
  • Property information: address, location (from your device, marked on the map or shared on WhatsApp), photos, plans, as-built surveys and drawings (architectural, electrical etc.), technical systems, issue and maintenance records; the time and location embedded in photos.
  • Appointments: survey date and time, your notes, visit outcome.
  • Proposals and contracts: the proposal sent to you, your acceptance, rejection or change request, the channel the confirmation code was sent to (masked), IP address, browser, time and a fingerprint of the accepted terms.
  • Security logs: server records such as IP address and timestamps.

3. Why we use it and our legal basis

  • Answering your enquiry, arranging and carrying out the survey, preparing and presenting proposals, delivering and documenting our services — steps you ask for before a contract and performance of the contract (GDPR Art. 6(1)(b); KVKK 5/2(c)).
  • Recording your decision on a proposal so that the agreed terms can be proven — legitimate interests and establishing or defending legal claims (Art. 6(1)(f); KVKK 5/2(e)).
  • Keeping accounting and commercial records — legal obligation (Art. 6(1)(c); KVKK 5/2(ç)).
  • Keeping our systems secure — legitimate interests (Art. 6(1)(f); KVKK 5/2(f)).
  • Passing your details to SİBA Gayrimenkul Değerleme for a valuation proposal — only with your consent (Art. 6(1)(a); KVKK 5/1). Saying no does not affect our survey or services.

4. Who we share it with

  • SİBA Gayrimenkul Değerleme (licensed property valuation): only if you ask for a valuation proposal and consent; your name, contact details and the property’s location and basic details. SİBA acts as a separate controller under its own notice.
  • WhatsApp (Meta): if you message us on WhatsApp, messages are carried by Meta’s WhatsApp Business infrastructure under Meta’s terms. You can use email or our web form instead.
  • AI-assisted replies: the first reply on WhatsApp may be drafted by an AI assistant, and photos and documents you send are added to the property record and may be summarised for our team with AI-assisted tools. For this, content may be sent to service providers acting on our behalf (which may be outside Türkiye). Neither the assistant nor the summaries make decisions; our team does.
  • Subcontractors and suppliers who carry out part of the work, only as far as the job requires (address, job description, contact).
  • Authorities where the law requires it.
  • We do not share your data with advertising or analytics providers.

5. Where your data is stored

Our records are kept on our own servers in Türkiye; emails are sent from our own mail server and maps load from our own map service. If you are in the EU or UK, your data is processed in Türkiye because the services you request are provided there and this is necessary to respond to you and to perform our contract with you. Türkiye is not covered by an EU or UK adequacy decision.

6. How long we keep it

We keep data only as long as needed for the purposes above. Proposals, acceptance records and service documents are kept for the duration of the contract, the statutory limitation periods and the legal retention periods for commercial records; after that they are deleted, destroyed or anonymised.

7. Your rights

Under the GDPR and UK GDPR you can ask for access to your data, correction, erasure, restriction, a portable copy, and object to processing based on legitimate interests. Where we rely on consent you can withdraw it at any time; this does not affect processing before withdrawal. You can complain to the data protection authority where you live or work (in the UK, the Information Commissioner’s Office). Under KVKK Article 11 you have equivalent rights and may apply to the Turkish Personal Data Protection Authority. We do not make decisions about you based solely on automated processing.
